Intake Coordinator
Description
ME Law Professional Corporation is a Toronto-based litigation firm specializing in estate, real estate, and corporate/commercial disputes. Our practice focuses on complex civil litigation matters.
We are seeking a detail-oriented and motivated Intake Coordinator to join our team, supporting the firm’s client intake and onboarding processes.
Primary Duties and Responsibilities:
- Serve as the first point of contact for prospective clients via phone, email, and web inquiries
- Conduct initial client intake, gather case details, and assess eligibility based on firm criteria
- Enter, update, and maintain accurate client information in CRM systems (CosmoLex and/or GoHighLevel)
- Schedule consultations and coordinate with legal professionals
- Review intake submissions for completeness and compliance with firm protocols
- Perform basic conflict checks and flag potential issues to appropriate team members
- Monitor and manage intake inbox and communication channels, ensuring timely responses
- Provide a high level of customer service with professionalism and empathy
- Follow up with prospective clients to support conversion and engagement
Secondary Duties and Responsibilities:
- Maintain and update client records, including status changes and additional information
- Assist with onboarding new clients and opening new matters in CRM systems
- Support documentation processes, including engagement agreements and intake forms
- Track and report on intake metrics and performance
- Assist with CRM optimization and workflow improvements
- Other duties as assigned
Key Competencies:
- Strong understanding of client service principles and professional communication
- Experience with CRM systems (CosmoLex and/or GoHighLevel preferred)
- Excellent interpersonal, organizational, and time management skills
- Strong attention to detail and accuracy in data entry and documentation
- Ability to handle sensitive and confidential information with discretion
- Effective problem-solving and decision-making skills in a fast-paced environment
- Ability to multitask and manage competing priorities
- Ability to work independently and collaboratively within a team
- Comfortable working under pressure and meeting deadlines
Other Requirements:
- Minimum 1–3 years of experience in a legal, intake, or customer service role preferred
- Prior experience in a law firm or legal environment is an asset
- Proficiency in office software (MS Word, Excel, Outlook)
- Experience with CRM platforms, specifically CosmoLex and/or GoHighLevel, strongly preferred
- Strong written and verbal communication skills
Compensation & Benefits
Salary: $50,000 – $65,000, depending on experience
Performance-based bonuses

Location: Toronto, ON (Yorkville) – Onsite
Schedule: Monday to Friday 9:00 AM – 5:00 PM
